Planning Committee Meeting

Minutes 9/17/07

 

Present:  Paul Fitzpatrick, Cheryl Davis, Fr Jim, Jim Wezensky, Larry Tewey, Debbie Knarr, Nadine McGrady, Chuck & Mary Lou Villa, John Wynne, Jim Lee

Absent:  Ray Beattie, Barb Burg, Charlie & Mary Alice Woerner
 

Jim Lee led with an opening prayer.
 

Jim asked everyone if they had received the draft minutes and agenda.  He also asked if there were any corrections or changes that needed to be made.  John Wynne made a motion to approve the minutes, seconded by Jim Wezensky.  The minutes were unanimously approved.
 
       1)  - Review Parish Communication sub-committee information.  Cheryl Davis prepared a binder, to be placed in the Commons for parishioners to read, with information about the Planning Committee and documents it has developed.  The availability of the binder will be announced via lector and bulletin announcements.  A cut off date of 9/30/2007 for parishioner responses to the Vision Statement development plan will also be announced.  Additional documents recommended for the binder included the following: summary of comments received pertaining to the Vision Statement, HVAC systems and locations, site plan/proposed drainage solution drawings, and projected county demographics and growth projection figures.  Cheryl Davis and Jim Lee will coordinate updates to the binder.  
 
       2)  - Review Coordinator of Volunteer Ministries sub-committee status.  Fr. Jim suggested that the Coordinator of Volunteer ministries staff member position begin as a 6 month internship.  This position is currently funded in the 2008 budget.  It is hoped that this position can be filled by 7/1/08.  Fr. will work on the job description and we will revisit the job description as needed.  Fr. Jim has worked with staff in a similar position previously which will help with the development of this job description.

       3)  - Review Building and Master Plan sub-committee status.  Larry Tewey talked with Msg. Shreve of the diocese and received the names of 2 architects, James Rice and Henry Harris.  Larry is working on setting up appointments for both of them as well as with Dennis Craig, who was the architect for the recently completed St. Mary’s in Richmond, to meet with the Planning Committee as soon as possible.  A total of three architects will be contacted and invited.  Mr. Rice will meet with the planning committee on 9/25/07 at 6:30 pm to discuss preparation of the master plan.
 
Dixon Studio expressed their need to be on board as soon as an architect is hired via e-mail response to Fr. Jim.  Fr. Jim encouraged the committee to make sure to keep the liturgical part of the planning separate from what the architect does and to make sure that the liturgical planning is done by a liturgical consultant. The architect will do the master plan.  John Wynne made a motion that we sign the contract with Dixon studios for the liturgical improvements to the sanctuary, day chapel, and reconciliation room.  It was seconded by Jim Wezensky.  The motion was approved. 

A decision was made to sign the contract with Dixon so that they can be on board as soon as we begin working with our architect.  The goal is to hire an architect by the end of October and have a master plan in place by the end of December. 
Fr. Jim would like to start the parish capital campaign by 12/1/07. 


New Business:  Oct 8 the parish reps will be at Immaculate Conception in Hampton for the Diocesan Strategic planning committee re: clustering.
           
The team will meet Sept 25th 2007.

Note: Jim Lee announced that the Parish Council has invited the Planning Committee, Finance Council, and Office Staff to the next regular meeting on Oct 3rd 2007 at 6:30 in the Social Hall.  It was recommended that everyone bring finger foods to munch on if able to attend.
